Building the intake process

It doesn't matter what tool you use as long as there's one obvious place for anyone in the organisation to flag potential evidence. Maintaining and retiring evidence
Stale evidence is worse than no evidence. A case study featuring a customer who churned six months ago, or metrics from a product version that's been completely rebuilt, undermines your credibility the moment a buyer checks the details.
Run a quarterly audit. Pull up the full library and check each piece against three questions. Is the customer still active? Are the metrics still accurate? Is the evidence less than 18 months old? Anything that fails two of those three questions gets flagged for refresh or retirement.
Track customer health alongside evidence status. If your CS team uses health scores, connect them to the library. When a customer's health drops significantly, flag their evidence for review. You don't necessarily need to pull it immediately, but you need to know the risk is there.
Archive, don't delete. Retired evidence can still be useful internally. A churned customer's case study shouldn't appear in sales decks, but the win story that originally brought them on board might still inform your competitive battlecards. Move retired assets to an archive section rather than deleting them entirely.
Set expiry reminders. When you add a new piece of evidence, set a review date 12 months out. This is especially important for metrics-heavy evidence.
